Invoice numbering systems that stay clear as you grow
An invoice reference should still make sense when a client pays months later. Choose a clear sequence, separate it from project codes and preserve the history when a document needs correction.

Short answer
Use one documented numbering policy with unique references, a controlled sequence and a record of canceled or corrected documents. ABH displays an issue year and an agency sequence; the alternative formats below are general examples, not customization options.
Review current plans for the time and invoicing workflow. Client funds are received outside ABH and recorded manually.
Why numbers matter for payment and bookkeeping
An invoice number gives the client, your team and the bookkeeper a shared reference for one document. Without it, a bank reference such as “website work” could refer to several months. The number should identify the invoice, while the line descriptions explain the work. Keep project codes and payment references connected to that identifier rather than expecting the client to infer the relationship from an amount.
A useful test is to ask someone outside delivery to find the invoice from a receipt reference alone. Can they distinguish a deposit from a final balance? Can they find the version that was actually issued? Build those checks into the month end invoicing checklist, including a place to investigate missing references.
Rules every format should follow
Choose a format that stays unique within the issuing business, sorts predictably and survives copying between a PDF, an email and a bookkeeping record. Use enough zero padding to keep a list readable. Avoid personal information, punctuation that looks like a separator in spreadsheets and codes that expose confidential client names. Decide who can allocate numbers before two people begin issuing documents.
Write down when a number is reserved, when a document counts as issued and what happens to an abandoned draft. Your register should distinguish a canceled document from an unexplained gap. Do not use a number again merely because its original invoice was never paid. Keep the reference visible beside the due date, as described in the payment terms guide.
Four example formats
Illustrative fictional formats are INV-0042 for one running sequence, INV-2026-0042 for a year plus sequence, ACME-0042 for a client prefix and INV-202610-0042 for a month plus sequence. The simple running sequence has fewer moving parts. Year and month prefixes add context, while client prefixes require a deliberate rule for clients that change names. These are design examples, not four selectable ABH settings.
Test the proposed format against a busy month, a new year and a client merger. A prefix does not automatically mean the counter resets. In ABH, the displayed format is INV followed by the issue year and a zero-padded agency sequence, for example INV-2026-0042. The agency sequence continues across years. Do not promise a custom prefix or annual reset from these examples.
Numbering retainers and recurring work
A monthly service still needs a distinct reference for each invoice. Put the service period in the description and keep the invoice identifier separate from the retainer agreement identifier. Otherwise, a client might quote the contract number for several payments and leave finance guessing which month is settled. A reusable invoice template helps you separate those fields.
For a fictional three-month engagement, October, November and December invoices can have consecutive numbers while all reference the same engagement. Creating a numbering policy does not create an invoice schedule. ABH's Pro retainer invoice generation is a manual action, and automatic recurring invoice schedules are not available today. See the retainer scope checklist for period and billing boundaries.
Fixing a mistake without breaking the sequence
If a draft contains a typo, correct it before sending. If an issued invoice is wrong, preserve the original reference and record what changed, why and which replacement or correction the client should use. Ask your bookkeeper which correction document is appropriate. Do not silently reuse the original number for unrelated work or erase the explanation of a canceled invoice.
Keep a short exception register with the invoice reference, date, reason, responsible person and related document reference. ABH provides invoice statuses, due dates, PDFs and a public invoice link. Manual receipts are recorded in an append-only ledger using exact amounts; ABH does not collect client money. A bookkeeping correction must not be confused with a receipt, refund or movement of funds.
Check local rules with your accountant
Numbering requirements can depend on jurisdiction, registration and document type. Ask your accountant to review uniqueness, sequences, cancellations and retention before adopting a policy. This guide offers an operational framework, not legal or tax advice. Have the accountant check a real sample invoice and a realistic correction scenario rather than approving only a format written on a whiteboard.
Once approved, keep the policy beside the billing procedure and give a backup issuer access to it. Review exceptions at close without renumbering history to make the list look tidy. If the underlying invoice is disputed rather than merely mislabeled, follow the dispute handling guide. The invoicing feature overview explains how ABH connects work records with the document.
Frequently asked questions
Does an invoice number have to contain a client name?
No general operational need requires it. A neutral reference can be easier to maintain and avoids exposing client names. Confirm applicable requirements with your accountant.
Does ABH reset the invoice counter every January?
The current code allocates the next sequence within the agency across years. The displayed number includes the invoice issue year.
Should I reuse a canceled invoice number?
Preserve the canceled reference and explanation. Ask your accountant how to document the cancellation and any replacement under your local requirements.
Keep invoice references traceable.
